Time Tracking

Timer, manual bookings, blank timer, editing bookings, the "My Week" calendar (create, move, duplicate), planned bookings and recurring series.

Time Tracking

What it is

In daagwerk you track time either live with a timer or as a manual booking. Every booking belongs to a Job and separates Booked (the time you recorded) from Billable (the time charged to the customer).

Start & stop the timer

  1. Click Start timer at the top of the sidebar (or open Track → Timer).
  2. Pick the job via search – or tap a favorite.
  3. The timer runs. To finish, click Stop – this automatically creates a booking.
  • You can run several timers in parallel.
  • Play buttons (▶) in job lists start a timer directly for that job.

Running timers at a glance & automatic stops

A “running” chip in the bottom-right shows all running timers with their duration on every page – you can stop them right there. The browser tab title also shows the elapsed time.

So no timer runs on by mistake, daagwerk stops it automatically – by priority: maximum durationlunch timeend of day (personal or company-wide). In addition to your personal values there is a company-wide default maximum duration (default 8 hours), so nothing runs overnight even without a personal setting. You set the times in your personal settings or the Administration.

Reminder for long timers: If a timer runs past the threshold you chose, daagwerk reminds you – by email and, if enabled, by browser push (even with the tab closed). You configure both in your Profile.

Manual booking

  1. Click Add booking (sidebar).
  2. Pick the job (with search), enter Start and End.
  3. Add a note – optionally from a template.
  4. Adjust the billable time if needed and save.

Managers can use the User field to record a booking on behalf of a team member.

Blank timer & inbox

Sometimes you want to start right away without picking a job. The blank timer starts without a job selection; the open booking lands in Track → Inbox blank bookings and is later assigned to a job there.

Editing bookings

Under Manage → My Entries (or on the job detail page):

  • Inline editing: change Booked and Billable separately (in hours:minutes), note, status and job assignment.
  • Bulk editing: select multiple bookings and change them together (e.g. set the status).
  • If Billable differs from Booked, this is highlighted in color.
  • Changing the time: if you change Start or End, daagwerk recomputes Booked and Billable from the span (with a hint). For jobs not billed by effort (fixed price, flat fee, non-billable) the Billable field is locked.
  • If an edited booking exceeds the budget of its purchase order, it is automatically split – just like when creating one (see Budgets & Purchase Orders).

My Week – the weekly calendar

Track → My Week shows your bookings for the week as a calendar: one column per day, blocks by time of day in status color and with a purchase-order marker; overlapping bookings sit side by side. A running timer appears as a live block that grows with time.

  • Change week: the ‹ › arrows in the header; Today jumps back to the current week.
  • Work week / Full week: the toggle hides or shows the weekend. The workdays come from your work schedule.
  • Working-hours shading: times outside your typical working hours, weekends and public holidays are subtly greyed out – purely visual; booking is possible everywhere.

Create a booking

  • Click an empty area to add a 60-minute booking starting at that time.
  • Drag a span to take over start and end exactly (15-minute grid; a dashed preview shows the span).

Both open the familiar booking window with the time pre-filled – add job and note as usual.

Move & resize

  • Move: grab a block and drag it – also to another day.
  • Resize: the top edge changes the start, the bottom edge the end (15-minute grid, with a live preview).

Invoiced bookings and the running timer cannot be dragged.

Right on the block (on hover)

Small icons appear on the block:

  • Pencil – opens the full edit window (job, times, note, billable).
  • Copy – creates a 1:1 copy right next to it, which you then drag into place (handy for recurring appointments).
  • Copy with ”+” – opens the create window pre-filled from the template (“Duplicate”); there you can change the date or set up a series (see “Recurring bookings”).
  • Check – planned bookings only: activates the booking (see below).
  • Trashcancels the booking; it disappears from the calendar.

“My Week” shows only your own bookings. All changes go through the same verified save path as in the list – including automatic splitting at the purchase-order boundary.

Planned bookings

Some appointments are in the future or recur (e.g. a regular sync), but aren’t done work yet. That’s what the planned status is for: a planned booking is a completely normal booking with all its details, but it is excluded from all evaluations – it does not count toward budgets, purchase orders, reports or statements. This way planned appointments never distort the current picture.

Create as planned

In the booking window (for a manual booking or in the weekly calendar) tick the “Create as planned” checkbox. The booking then appears in “My Week” translucent with a dashed border and a “planned” marker; in lists it carries the Planned status.

Activate

Once the appointment actually happens, you activate it – in the calendar via the check icon on the block. “Planned” becomes booked, and only at that moment is it charged to the then-active purchase order (including budget check and, if needed, splitting). If a planned appointment no longer fits, simply move, edit or cancel it – with no budget impact.

Recurring bookings (series)

You create recurring appointments in one step: in the booking or duplicate window, enable “Repeat”.

  • Frequency: daily or weekly. For “weekly” you choose the interval (“every N weeks”) and the weekdays (e.g. every Tue + Wed).
  • Ends: either after a number of occurrences or on a date.
  • A live preview shows how many occurrences will be created (up to 200 per series). The template’s time and duration apply to every occurrence.

All series occurrences are created as planned. This lets you enter all the regular syncs of a long project up front without distorting the budget, and activate each one later when it takes place.

Status of a booking

The billing lifecycle is typically Booked → Reviewed → Invoiced (or Cancelled). In addition there is Planned for appointments not yet performed (see “Planned bookings”). The status is color-coded and filterable in the Reports; planned bookings stay excluded from the totals.

Templates

You create recurring notes under Manage → Templates and conveniently pick them while booking – global or per Account/Project/Job.

Tips & pitfalls

  • Bookings across midnight are automatically split at the day boundary – so no “25-hour days” show up in the Workload view.
  • Use favorites for your most frequent jobs – one tap is enough to start.
