Filter bookings, use saved searches and generate professional PDF proofs with freely selectable columns, presets, branding and multi-currency.
Reports & PDF Export
What it is
Under Manage → Reports you filter and export bookings – from the overview to the customer proof.
Filtering & saved searches
- Open Reports.
- Set filters: period, Account, Project, Job, status and more.
- Save frequent filters as a saved search and recall them later with one click.
Creating a PDF proof
- In Reports, click PDF.
- The columns dialog opens:
- Pick a preset: Invoice (lean), Internal (with Booked, user, status, billing type) or Compliance (everything incl. times) – or your own presets.
- Select/deselect columns with checkboxes and sort them by dragging.
- The live preview shows the first bookings.
- Create PDF – the PDF shows exactly your columns in your order.
Saving as a preset
In the dialog, + Save as preset opens a field for the name. Managers can share a preset team-wide (visible to everyone), otherwise it stays private.
Role rule: Sensitive columns like rate appear only for managers and admins – even if a user selects them in a preset.
Branding
On Business plans, the proofs carry your logo, your primary color, a letterhead and a footer. Setup: see Administration.
Multiple currencies
Bookings in different currencies are summed per currency – without conversion. The proof shows a “totals per currency” table.
Batch export (ZIP)
Instead of one large PDF, you can generate a separate PDF per account and download them all together as a ZIP (Business+).
Other export formats
Besides PDF, CSV, JSON and XML are available; plus summary and budget CSV. For budget reports, see Budgets.
Tips & pitfalls
- For customer invoices, use the Invoice preset – it filters out non-billable rows and shows no internal data.
- A shared preset, once saved, is available to the whole team – ideal for a consistent proof format.
